MachNumber Quick Start Guide

Thank you for choosing MachNumber. This highly synchronized suite of on-demand trip management applications is designed to help streamline trip processing for you.

Main Menu bar
The menu bar remains in view no matter where you are in the application.

When you log in you initially see your Control Panel page. You can always get back to this page by clicking on “Control Panel.” The application is designed to follow a normal charter call process.

Price…
Starting on the left, you can price trips and store the results in the online database for future use.

Dispatch…
… is the next menu item to the right. When your client asks that the trip go live, use the Dispatch menu to retrieve a list of previously priced trips. After you have selected the desired trip from the list, add the necessary details (crew, trip instructions) to the pricing record to create a dispatched trip database record. At this point you should print two charter sheets; one which is tailored for pilot use and the other designed for your charter coordinator. Your pilots can also surf in remotely to get their charter sheets.

Charter Mgmt…
… is an optional module. While your trip is in progress, you have the option of following along with it adding notes and O-O-O-I times.

Debrief…
Once your trip has come home, use this module to select a dispatched trip to “debrief.” In a couple of minutes you can mine your returning paperwork for pertinent operational and economic data, entering this valuable information into a secure online database.

Reports…
Our system sensibly stores, organizes and calculates the operational and financial information you have placed into the Debrief database. A Pilot “Flight and Duty Time” record-keeping system is built in along with an ability to retrieve landing fee and other reports. Manager and Administrator-level users see summary financial information on their reports page. This summary information assists management in understanding where the carrier stands operationally and economically at any time.

Users…
You determine who gets access. User classes include Pilots, Customers, Regulators, Charter Coordinators, Managers and Administrators with tailored access built in. If you wish, you can amend data access for any individual user above or below the defaults we have built in.

Once subscribed, you can log in here:  https://tripmanager.avrecords.com/Logon/logon.asp

Once logged in, you’ll arrive at your Control Panel:

The “Control Panel” menu item will always bring you back here

The Control Panel provides you with a tailored look at the state of your carrier. If you’re an “Admin,” you’ll have a global view as above. Pilots, managers, customers, regulators, charter coordinators, etc all have Control Panel content appropriate to their relationship with your company. Administrators have wide latitude to adjust the permissions and information access of their users.

Let’s add your aircraft:

Off of the “Admin” menu item, select “Aircraft (Active)”

Click on “Add”

Then fill in the blanks to suit:

Note: If you “delete” an aircraft, it is merely transferred to the InActive list.

Next: Select the users menu, click on “Customers”

Click on “Add”

Fill in the information for your customer:

Click the “Add” button

After adding your customers, you’ll see a listing like this:

If you wish to grant a customer login access, select the customer hyperlink from the listing above…

... then you'll see this:

Select "Edit Permissions" and you'll see this:

Change the "Logon Access Indicator" to "Yes" and provide a password. The system will generate a Logon ID automatically. Click on "Update"

Now, let’s add a pilot or two:

Again from the “Users” menu, select “Pilots”

… the click on the “Add” link:

From the resulting pop up box, fill in the blanks:

If you wish to grant this pilot login rights, from the Pilot list, select “EDIT” at the right side of the screen:

Fill in the Pricing information:

Then click on “Quote Trip” and the remainder of the screen fills in:

You’ll see an itinerary section at the top right:

Edit leg departure times as needed, starting from the top and notice that succeeding legs automatically update. The “duty time estimate” presumes a :30 preflight/pre-departure interval with :15 of post-flight duties.

… and a trip pricing workplace at the bottom:

The trip pricing workplace is very powerful. You can quickly and easily add all of your
normal charges plus client requests - then store the record for immediate (or future) use.

Save the quote if you like for future use.

When you do, you’ll see that it adds itself to the “Price List,” accessible from the “Price | Priced Trips List” menu item.

Did your charter go live?

Go to the “Dispatch” menu item and select “Dispatch a Priced Trip”

You’ll see a list of your priced trips:

Pick the trip you want “To Dispatch” from the list. You’ll see this:

Select crewmembers and then add FBOs and notes.

When you select “Dispatch” two things happen. A record of the Dispatched trip is recorded and the system will display two charter sheets ready for printing.

The top charter sheet is designed specifically with the information your Charter Coordinator requires to manage the trip. The bottom part is for your crew.

This page is designed with a from-feed between the Charter Coordinator’s document and the Crew’s charter sheet to create two distinct documents.

We have designed things so your Pilots can surf in and pick up their own charter sheets. By default, Pilots see only the operational information needed to operate their trip which is the bottom portion of the dispatch page (below). You can print airport NOTAMs for the stops on the itinerary at this point.

For the Charter Coordinator: (Pilot info plus trip charges)

Printable product for your Pilots (Ops view only, no financials)
(a section is provided to record departure and arrival times)

Airport NOTAMS are available by selecting a link at the bottom of this page
